A freelancer invoice that gets approved quickly

Clients' accounts teams process dozens of invoices. The ones that get paid first are clear: who it's from, exactly what was delivered, how much is owed and how to pay. This template is set up that way, with deliverables described in plain language and payment details right on the invoice.

Using this template

The example shows a common freelance mix: a fixed-fee project, work billed per unit, and extra revisions billed hourly. Replace each line with your own work, or delete what you don't need. Your business details, logo and design are remembered in this browser, so your next invoice takes seconds.

Make it easier to get paid

  • Number every invoice, and never reuse a number; OZO continues the sequence for you.
  • Ask for a deposit on large projects and invoice it separately before you start.
  • Keep every invoice. Your draft stays in this browser, and a downloaded PDF of each one makes a simple record.

Need to price a project first? Send an estimate, then turn it into an invoice when it's accepted.

Frequently asked questions

How do I invoice as a freelancer for the first time?

List your details and the client’s, give the invoice a unique number, describe the work with prices, add the due date and your payment details, then send it as a PDF. This template has all of that laid out, so you only replace the examples.

Should I charge by the hour or by the project?

Both work on this template. Project fees are easier for clients to approve; hourly billing suits open-ended work. Many freelancers quote a project fee and bill extra revisions hourly, as in the example.

What payment terms should freelancers use?

Fourteen or thirty days is typical. Shorter terms, a deposit up front for large projects and a clear late-payment clause all help you get paid on time.

Do freelancers need to add tax?

It depends on your country and whether you are registered for VAT, GST or sales tax. If you are registered, add your tax number and the tax rate on each line; if not, leave tax empty.
