Logo or photo on the left, a coloured line, then your details.

Logo or photo

Paste the https address of an image that is already on your website or an image host. Mail programs load it from there.

No hosted image? Upload one instead

An uploaded image is embedded in the signature. Many mail programs block those, so a hosted address is safer.

“Copy signature” is for pasting into your mail settings. “Copy HTML code” is for programs that ask for code. Your details stay in this page and are never uploaded.

How to add it to your email

Mail program

Add it to Gmail

  1. Press Copy signature here.
  2. In Gmail, click the settings gear, then See all settings.
  3. On the General tab, scroll to Signature and click Create new.
  4. Click in the signature box and paste (Ctrl+V, or Cmd+V on a Mac).
  5. Scroll to the bottom and click Save changes.

Menu names can differ a little between versions. If a picture does not show for people who get your email, it is almost always an image that is embedded instead of hosted.

How to make an email signature

  1. 1

Pick a design and add your details

Choose one of the four designs, then type your name, job title, company, phone, email and website. Add social links and your brand colour if you want them.

  2. 2

    Add your logo or photo

Paste the https address of an image that is already online. The preview updates as you type, so you can see exactly what people will receive.

  3. 3

    Copy it into your email

Press Copy signature, then paste it into the signature box in Gmail, Outlook or Apple Mail. Short steps for each are below the preview.

A signature that looks the same everywhere

An email signature is a small piece of your brand that goes out with every message. A good one has your name and title, the ways to reach you, and a logo, without being heavy or breaking in the recipient's mail program. This generator writes the code for you, so you never have to touch it.

Good to know

  • Keep it short. Name, role, two ways to reach you and one link is plenty.
  • Match your other materials. Use the same colour as your business card and letterhead.
  • Sign documents too. Draw a handwritten signature with the signature maker for invoices and contracts.
  • Pick your brand colour carefully. The bold design chooses white or dark text for you, so it stays readable on any colour.

Frequently asked questions

Will my signature look right in Gmail, Outlook and Apple Mail?

It is built the way mail programs need: tables for layout, every style written directly on the element, and web-safe fonts. Gmail and Apple Mail show it as designed. Outlook ignores a few things, such as rounded corners, so a round photo may show as a square there. Send a test email to yourself to check.

Why does my logo not show for the people I email?

Mail programs only show images that are hosted online. An image that is embedded inside the signature is often blocked or removed, and an address that starts with http instead of https may be blocked too. Use a hosted https address and the picture will load for everyone.

Where do I get an image address for my logo?

Upload the logo to your website’s media library, or to any image host that gives you a direct https link ending in .png or .jpg. A link to a page that merely shows the file, such as many file-sharing pages, will not work, because it is a web page and not the image itself.

How do I put the signature into my email program?

Press Copy signature, open the signature settings in your mail program, create a new signature and paste into the box. The steps for Gmail, Outlook and Apple Mail are listed under the preview. Use Copy HTML code only if your program asks for code.

Why are the social links words and not icons?

Icons are small images, and every one would need to be hosted online and could be blocked. Text links work in every mail program without any images, so they are the safest choice.

Is my information sent anywhere when I make a signature?

No. The signature is built in your browser and nothing is saved or uploaded. The one thing your browser fetches is the logo, straight from the image address you typed, so the preview can show it.
